Kids’ Own seeks Office Administrator

Since its inception in 1997 Kids’ Own has emerged as a key organisation that supports the provision of exemplary arts practice with children and young people in Ireland. Kids’ Own is primarily focused on supporting the engagement that occurs between artists and children through a way of working that develops children’s individual creative expression through publishing and the arts. Our ethos is about supporting children and young people as active cultural creators in their own right. Kids’ Own is located in Sligo. We work locally and across Ireland and Northern Ireland in partnership with many schools, venues, arts organisations, local authorities and government departments. An integral part of our work is the commitment to supporting professional artists in developing their practice with children and young people and all other professionals working with children through the arts.


We are currently running a number of significant national projects and initiatives in collaboration with a range of partners and are seeking an Office Administrator to join us in our busy office in County Sligo. Within this role the successful candidate will provide essential support to the office team.

Kids’ Own Office Administrator: Job description


This role will involve both project administration and general office administration. Kids Own has a number of key projects that are running concurrently and are seeking a strong individual who can support us in the delivery of this work across a range of programmes and activities.


Project administration key tasks include:


• Website content management;
• Support project planning through liaison with partners, funders, artists and participant groups;
• Liaise with artists regarding paperwork, training and vetting;
• Process documentation of projects on an on-going basis;
• Support Kids’ Own staff with reports and on-going communication to partners and funders;
• Where required, attend and minute project meetings and update project files;
• Liaising with our communications officer to support the on-going marketing and publicity of our work.
• Support our publishing activities, including proofreading and sending publications to national deposits;


Office administration key tasks include:


• Provide first point of contact at the Kids’ Own office and respond to general enquiries relating to Kids’ Own’s work;
• Overall responsibility for filing, archiving, paperwork, office purchasing and postage on an on-going basis;
• Support Kids’ Own staff through diary management and organisation of meetings;
• Support general financial activities - led by Kids’ Own’s Finance Officer - through management of petty cash, and on-going monitoring of project budgets;
• Maintain up-to-date Kids’ Own databases, including our mailing list and artist database;
• Monitoring and updating Kids’ Own policies and procedures including: Reporting to CRO and The Charities Regulation Authority, updating our Child Protection Policy and our safeguarding procedures; and monitoring of our archives, in compliance with our data protection policy;
• Process book sales and undertake regular stock takes;
• Undertake any other duties as may reasonably be assigned by the Creative Director.


Requirements:


• A third level degree would be an advantage;
• Previous experience working in an office environment;
• The successful applicant will be required to work from our office in County Sligo and must have their own means of transport.
• Confidence in the use of computers and office software. Familiarity with Apple computers and word press would be advantageous.
• Applicants should be highly organized, have excellent written and oral communication skills, be resourceful, self-motivated, proactive and confident in decision-making. Excellent team working skills, including the ability to work collaboratively with creative professionals and be willing to work within a small but busy team.
• The successful candidate will be required to work in the Kids’ Own office three or four days a week.
